Keep grade and product form separate
Worldsteel describes steel as an iron-based alloy and explains that different grades have different properties. The product form—such as bar, plate, sheet or section—is a separate part of the request. Two items can have the same form and different grades, or the same grade and different dimensions.
Start from the drawing or purchase specification that governs the job. Copy its designation accurately, including any suffix, standard edition or revision. Do not assume that an informal trade name is enough to approve a substitute.
Write dimensions so there is one interpretation
Put a unit beside each dimension, name the dimension and state whether a length is fixed or may vary. If you need a tolerance, write it explicitly. A buyer and supplier should be able to read the same line without guessing which number is thickness and which is width.

Check the standard and documentation
BIS’s Know Your Standard service provides a route to current Indian Standard information and associated documents. Use it to check the standard named in your specification. A mention of a standard on an enquiry is a request for compliance; it does not by itself establish that a supplier or item is certified.
Ask the supplier to confirm which documents can accompany the exact material quoted. If traceability is important, agree how the item, bundle or batch will correspond to those documents. Keep the approved quotation and any accepted substitutions with the purchase order.
Send one complete request
A useful quotation should also state lead time, packing, transport, taxes and validity. Compare suppliers against the same request and resolve exceptions before ordering. When a quote says ‘equivalent’, ask for the proposed designation and obtain approval from the person responsible for your material specification.
